
Registering your foal with the Australian Quarter Horse Association (AQHA) is an important responsibilities of any breeder. Beyond paperwork, registration safeguards the integrity of our Stud Book, protects genetic accuracy, and preserves the long term value and reputation of the Australian Quarter Horse.
While the process is straightforward, attention to detail is essential. Ensuring every requirement is completed correctly the first time will prevent delays, additional fees and unnecessary administration.
Below is a step-by-step guide to assist members through the registration process.
BEFORE YOU BEGIN
Prior to submitting an Application for Registration, members must ensure either:
- Both parents are AQHA registered, and/or one parent is recorded as a Foundation horse.
- A foal conceived by Embryo Transfer (ET) from a mare not owned by you, must have an Embryo Permit prior to breeding.
- A foal conceived by Oocyte Transfer (ICSI), must have an Oocyte Permit prior to breeding.
- Breeding returns have been correctly completed and submitted.
If permits are lodged after breeding or foaling, penalties may apply. In the case of multiple embryo foals, the donor mare must be listed on the stallion’s breeding return for each service.
COMPLETING THE APPLICATION FOR REGISTRATION
The breeder at the time of foaling is responsible for submitting a properly completed and signed Application for Registration.
Members must provide:
- Three name choices in order of preference (or list your reserved name as your only option)
- The foal’s colour (as per AQHA Rulebook guidelines)
- Gender
- Date of birth
- The registered name and registration number of both sire and dam
It is the responsibility of the applicant to ensure all information is accurate and complete. Incomplete applications cannot be processed.
SIGNATURE REQUIREMENTS
Correct signatures are essential to validate registration and confirm ownership and breeding details.
The following are required:
- The dam owner at time of foaling must sign as the owner of the foal.
- The stallion owner at time of breeding must sign the breeder’s certificate.
- If the foal has been sold, a Breeder’s Declaration or signed transfer must accompany the registration application.
Missing or incorrect signatures remain one of the most common causes of delays.
HAIR TESTING
A sample of hair from the horse, is required with each new Application for Registration which is tested for the following:
- All new registrations require Parent Verification (PV) to verify the Sire and Dam of a horse being registered;
- When required Genetic Testing to detect the incidence of genetic disorders; or
- Optional Colour Testing is also available upon request for a horse's coat colour and patterns..
All hair testing must be conducted through the AQHA Approved laboratory. Members should ensure hair samples are correctly pulled, with visible follicles attached, to avoid the need for resubmission.
MARKINGS & IDENTIFICATION
Accurate identification is critical in maintaining reliable and traceable records for every registered horse.
Members must:
- Mark all whorls on the head and neck with an “X”
- Clearly draw all white markings and brands on the diagram provided
- These markings form part of the horse’s permanent identification record. Careful attention at this stage prevents future discrepancies.
FEES & MEMBERSHIP
To finalise processing:
- The dam owner at time of foaling must hold a current AQHA membership.
- Payment must be received to finalise processing.
- Registration fees vary depending on the age of the foal.
Members are encouraged to register foals promptly to avoid higher fees associated with late registration and to ensure eligibility for programs and incentives.
COMMON MISTAKES TO AVOID
Even small oversights can delay registration. The following are the most frequent issues encountered by the AQHA office and all are preventable.
Missing or Incorrect Signatures:
Ensure the correct parties have signed in the appropriate sections before submission.
Incomplete Name Submissions:
Always provide three name choices unless submitting a reserved name. Failure to do so may result in processing delays.
Incorrect Markings:
All whorls, white markings and brands must be clearly and accurately recorded. These details cannot be amended without formal process once finalised.
DNA Samples Not Submitted or Incorrectly Collected:
Hair samples must include follicles and be submitted to an AQHA-approved laboratory. Inadequate samples will require recollection.
Membership Not Current:
Processing cannot occur if the required membership is not active.
Delaying Registration:
Registration fees increase as the foal ages. Timely submission saves money and ensures earlier eligibility for AQHA programs.
